Role Overview
The Post Room Officer will support the secure and efficient handling of all mail and parcels across the estate, ensuring timely delivery, accurate logging, and consistent application of security procedures. Reporting directly to the Post Room Supervisor, you will play a key role in screening incoming items, supporting estate departments, and maintaining high standards of professionalism, safety, and operational efficiency.

- SIA Guarding or Door Supervision licence holders (desirable but not essential).
- Able to work full‑time shifts covering days, nights, and weekends.
- Previous experience working within a post room, mail handling, or facilities‑based environment is desirable, but enthusiasm and willingness to learn are equally important.
Your core responsibilities will include
Operational Support & Workflow Handling
- Assist with the day‑to‑day processing of incoming and outgoing mail, parcels, and courier deliveries.
- Follow all Standard Operating Procedures (SOPs) to ensure secure and efficient handling of items.
- Support delivery scheduling with tenants, estate teams, and courier partners.
Security Screening & Threat Awareness
- Operate mail screening equipment under the direction of the Post Room Supervisor.
- Follow established security protocols and NaCTSO guidance for mail handling.
- Report suspicious packages or anomalies immediately to the Post Room Supervisor or Control Room.
Compliance & Risk Management
- Maintain secure handling of sensitive, confidential, or high‑value items.
- Follow procedures relating to custody, sign‑off, and item tracking.
Team Support & Coordination
- Work collaboratively with Post Room colleagues, supporting a positive and professional working environment.
- Participate in training covering:
- Screening procedures
- Suspicious package identification
- Emergency response protocols
- Use of x‑ray and detection equipment
Technology & Equipment
- Carry out basic checks of screening and handling equipment.
- Report any faults or issues to the Post Room Supervisor or Technical Support Teams.
Documentation & Reporting
- Accurately log all inbound and outbound mail items, including timestamps and screening status.
- Assist with incident reporting or audit trails where required.
Interdepartmental Coordination
- Liaise professionally with hotel teams, school staff, office tenants, and event departments regarding secure deliveries.
- Ensure delivery personnel comply with estate access procedures.
Emergency Preparedness
- Support the Post Room Supervisor during emergency responses, including suspicious package procedures or evacuations.
- Participate in regular security and emergency drills.
Skills & Experience
- Experience working in customer‑facing or busy operational environments.
- Strong teamwork skills, with a supportive, flexible, and proactive approach.
- Excellent attention to detail and accuracy in process‑driven tasks.
- Ability to follow instructions and work calmly under pressure.
- SIA Door Supervision or Security Guarding licence – desirable but non‑essential.
- 5 years of checkable work and address history.
