The role

Carlisle Support Services is looking for a HR Advisor, you will be the “go to” person working in collaboration with Managers and key stakeholders to help build organisation and people capability. You will have an excellent understanding of HR processes and a very good understanding of the challenges people face, especially while working in challenging environments. 

To maintain and enhance Carlisle Support Service reputation and ensure costs are well managed, and effective processes and data protection best practice is followed, whilst always maintaining high corporate standards.

This is a contract-facing generalist role supporting operational managers across Carlisle’s UK service lines (cleaning, Hard FM, security, events and facilities support services). 

The role may require regular travel to sites to support people activity, mobilisation/demobilisation activity and employee relations casework.

 

Your core role will include but not be limited to the following activities:

 

  • Works in collaboration with the HR team to provide an effective and efficient day to day HR service to operational and support functions across multiple contracts/sites
  • Provides pragmatic, UK employment law compliant, generalist HR advice and coaching to people managers, supporting consistent application of policy and process
  • Supports the HRBP with contract mobilisations, demobilisations and TUPE activities (gain/loss), including collation and checking of information, drafting documentation and supporting consultation activity
  • Works with the Head of HR and HRBP to execute the people plan across the business within agreed timescales, producing and maintaining basic HR MI (e.g., absence, turnover and ER case volumes) to support action planning
  • Alongside our Employee Relations Partner, support Operations Managers with end-to-end employee relations casework and associated administration, ensuring matters are managed consistently and in line with UK employment law and best practice. This includes disciplinary, grievance, capability, performance management, attendance/absence management and change management (e.g., supporting investigations, preparing paperwork/letters, arranging meetings/hearings, collating evidence, updating case trackers and maintaining accurate case files)
  • Support managers with attendance management processes including absence reviews, Occupational Health referral administration and medical capability support, ensuring actions and outcomes are documented
  • Working alongside the HRBP, support TUPE mobilisations and demobilisations across the business, including assisting with due diligence and collation/validation of Employee Liability Information (ELI), preparing transfer documentation (letters, FAQs and consultation materials) and escalating complex issues to the HRBP
  • Where applicable, support engagement with employee representatives/Trade Union representatives on contract people matters, working with managers and the HR team to ensure appropriate consultation and communication
  • Support the HR Coordinator with any SAR requests including collation of documents and redaction ensuring the requests are completed within the relevant time frame
  • Support operational recruitment activity across contracts as required 
  • Create and deliver practical HR process training and guidance to consistently upskill line managers (e.g., ER basics, attendance management, note taking and investigation skills)
  • Maintain accurate HR records and case files (including ER and TUPE trackers) in line with GDPR and internal governance, producing timely information for audits, management reporting and litigation/SAR support where required
  • Support the implementation and periodic review of HR policies and guidance, ensuring managers understand requirements and that updates reflect current UK employment law and operational best practice
  • Use HR systems and spreadsheets to support contract people activity (e.g., headcount changes, absence/turnover reporting and ER volumes), highlighting risks and themes to the HRBP/Head of HR
  • Support and lead in areas of HR related projects derived from the overarching people strategy in areas including employee engagement, equality, diversity and inclusion and wellbeing 

 

The ideal candidate

 

  • Proven experience in a People/HR Advisor role, providing pragmatic, UK employment law compliant advice in a multi-site/operational environment
  • CIPD qualified (UK) to Level 5 (Associate level) as a minimum (or demonstrably working towards). Equivalent professional HR qualification will also be considered
  • Strong employee relations capability, including managing complex cases end-to-end (disciplinary, grievance, capability, absence/attendance and change)
  • Experience supporting change activity including TUPE (gain/loss) and contract mobilisations/demobilisations, with strong attention to detail for associated documentation and administration
  • Experience designing and/or delivering HR/people management training (e.g., investigations, note taking, attendance management, handling difficult conversations) to upskill managers
  • Excellent organisation and prioritisation skills, able to manage competing deadlines, maintain accurate case files/trackers and follow governance requirements
  • Strong communication, influencing and stakeholder management skills, with the confidence to coach managers and challenge constructively
  • Ability to remain calm under pressure, respond to escalations appropriately and meet deadlines in a fast-paced operational environment
  • Strong technical HR knowledge, including up-to-date UK employment law and best practice, with sound judgement and a solutions-focused approach
  • Full clean UK driving licence

 

Desirable:

  • Accredited workplace mediation training (UK) (e.g., Acas Certificate in Internal Workplace Mediation) and/or practical experience supporting mediation conversations
  • Formal coaching skills/training (e.g., ILM/ICF-aligned coaching qualification) and confidence in coaching managers through people challenges
  • Experience delivering training/workshops (face-to-face and/or virtual) in HR/people management topics
  • Worked within a service delivery / facilities management business, with a variety of contract management
  • Experience of working within a unionised environment
  • Experience of change management including TUPE

 

Once trained up this will be Hybrid working 3 days in the office.

 

Successful candidates will be required to provide original documentation for detailed screening and vetting processes. 

This could include the following: passport / driving licence / utility bill dated in the last 3 months / HMRC letter / original bank statement / original payslip / birth certificate / a valid share code.
